How to Write the HOTTEST Listings for Your Meeting Spaces

Here’s a few pointers on how to turn those empty rooms into the hottest places to connect in town.

Subhead: Play to your strengths.

No two spaces are ever the same, and they shouldn’t be – just like the people who come together in them (so poetic, right?).

First, establish what your space does best, then communicate its purpose to your Guests.

Small space? Promote it as a tactical place for tight teams to dial in.

No screens? Emphasize the importance of intimacy and togetherness in real time.

Big boardroom? Make the idea of getting big groups together sound like a fun outing.

Stunning and/or rich with amenities? Take your clients here and impress them.

Subhead: Let loose a little.

Whether it’s for a relaxed brainstorming session or somewhere to hit deadlines, your space should be a sanctuary for your Guests.

Our advice? Let loose a little. Have a sense of humour. Be relatable.

  • Cozy couch? Encourage them to kick their feet up.
  • Play into some of the cultural and local lingo of where your space is located.
  • If something reminds you of a movie quote or a song lyric, throw it in!

  • Lead with what makes the room worth booking.
  • Keep the good stuff up front in a few sentences, leave the bullet points for the practical stuff
  • Be specific about room capacity
  • Highlight key amenities
  • Make house-keeping instructions simple for your Guests to follow: building access, front desk and parking
  • Be clear if something is not included (i.e. food and bev, AV set up) or if you require additional information before booking (i.e. number of attendees)
  • Call out neighbourhood spots like cafes, restaurants, transit stops

Photos are the first thing Guests notice about your space. Here’s how to take them:

  • Organize and put away objects that clutter the space
  • Open any window coverings for natural light
  • Clean all windows, mirrors, tables, countertops and floors
  • Highlight amenities that your guest may look for in a meeting space
  • Remove any items that are not included with the space
  • Pictures of the reception space, foyer, entrance so guests know what to expect
  • Neighbourhood shots are great too, gives a feel for where the space is located
